We’re looking to recruit a part-time, office-based Office Manager to come and join the team at our head office based in Croyon.

OFFICE MANAGER

The CSPA is a membership organisation, with around 40,000 members. Our aim is to maximise the benefits of the Civil Service Pension and to promote a better later life for all pensioners. The CSPA campaigns, with partner organisations, on matters of direct interest to the wider community of older people, such as Pensions, Health & Social Care, Transport, Social & Digital Exclusion, Housing and Inter-generational Fairness. We also provide bespoke services & benefits for our members.

This role represents an attractive opportunity to be a key member of a friendly head office team, ensuring that our office and team support systems run smoothly to help us provide CSPA and its members with the services and support required most effectively.

The team member will have a leading role to play in;

  • The day-to-day management of administrative staff cover and attendance, ensuring that our Head Office team runs smoothly,
  • The collation and issue of CSPA group newsletters, also supporting the provision of information to the Editor and magazine printers,
  • Liaison with our IT consultants and the providers of our postal services and office equipment, also dealing with the suppliers of our stationery and other consumables,
  • The management of day-to-day health and safety related matters,  
  • Liaison with our Landlords in relation to any issues arising with our tenancy and related contractual requirements.

The position is part-time, 3 days a week, and is office-based. The salary is £26,438 per annum (£44,064 FTE), with 18 days of paid leave per annum (plus Bank Holidays). The post holder will also be eligible to be auto enrolled into the Stakeholder Pension Scheme.

You will join a small, friendly team, being based at the CSPA Head Office in Croydon.

Skills required

Office and Office Systems Management, Administrative Experience, Team Leadership, Member/Customer Relations, Project Management, Teamwork, Time Management, Initiative, Flexibility, Integrity, Efficiency and Discretion

Knowledge and experience

Experience of;

  • Microsoft Office Suite (Intermediate +)
  • Familiarity with CRM/membership database systems and how to use them to update member records and generate mailing lists
  • Dealing with external suppliers and service providers
  • Experience in managing office and filing systems, both paper-based and electronic
  • Experience in supervising administrative staff and the management of an admin team.

It would be desirable to have:

  • some knowledge of wider issues affecting older people in general,
  • experience working for/with campaigning and/or membership organisations,
  • an interest in Civil Service or other Public Sector pensions,
  • a willingness to learn new skills that are relevant to the promotion of our policy areas.
